OCR is only the first step in invoice processing

What to check between reading an invoice and sending it to your ERP.

Reading an invoice is useful. Knowing whether its contents are ready for your finance process is a different job.

When you assess AP automation, follow the invoice beyond extraction. A convincing demonstration should show what happens when information is missing, a purchase order does not match, or someone needs to approve an exception.

Start with what you already have

Your ERP, OCR service or RPA workflow may already capture supplier names, dates and totals. Some products also include classification, validation and workflow tools.

Map those capabilities before buying another system. Where does your team still rekey information, open supporting documents or chase a decision? That is the work your evaluation should focus on.

Check the transaction, not just the text

An invoice can be perfectly readable and still require investigation.

The supplier may need verification. A price may differ from the purchase order. A delivery record may be missing. The same invoice may have arrived through more than one channel.

Ask which checks use data from your ERP, which use configured business rules, and which require a person.

Also ask what happens when the information needed for a check is unavailable.

Make exceptions part of the demonstration

Do not stop at a clean invoice moving through the system.

Include a credit note, an unfamiliar supplier layout and an invoice that needs correction. Watch how the issue is explained, who receives it and how the decision is recorded.

The useful question is: “Can our team understand and resolve this?” A warning that creates another investigation may simply move the manual work elsewhere.

Agree what success means before a pilot

Choose a representative document set and record how the current process handles it.

Then measure extraction quality separately from review effort, unresolved exceptions and successful delivery into the destination system. Define what counts as correct, and include unsuccessful documents in the results.

That gives finance and IT a shared basis for deciding whether the proposed workflow earns its place.
