Our customer, a leading South African financial-services provider, previously manually sent portfolio information requests, monitored replies, opened attachments and consolidated the relevant information for review. The work crossed email and documents, making outstanding responses and exceptions harder to see in one place.

Manual coordination before Flow

The team had to keep track of which requests were still outstanding, which replies contained usable information and which attachments needed attention. Consolidation happened after those checks, with operators carrying the context between steps.

From chasing replies to a connected workflow

Our customer uses Syntext Flow to send information requests according to the configured sequence and monitor the replies that return through the agreed channel. Responses and attachments are classified so the workflow can distinguish relevant material from items needing operator attention.

Flow extracts the relevant information defined for the process and carries it into a consolidated portfolio view. The workflow records progress across outstanding and received information while preserving the status of each request.

A response that cannot be classified, an attachment that lacks the expected information or an exception in the sequence remains visible for human handling. The operator can review the available context and decide how the workflow should continue.

The configured sequence connects the request, reply monitoring, document classification, information extraction and consolidation steps. Our customer receives a consolidated portfolio view for review while retaining responsibility for interpretation and downstream professional decisions.
